The Opportunity: Your Impact & What You'll Do

This role combines Front of House and Hospitality, working with two areas of the team. 

As an integral part of the organisational backbone of our studio, you’ll be proactive, flexible and welcoming, playing a crucial role in assisting with the smooth and efficient running of the front desk and surrounding area as and when needed. 

You'll also assist in our hospitality department, delivering a top-quality service: cleaning, preparing refreshments and lunches for internal and external meetings, servicing tea points and kitchens on both floors, and clearing and tidying meeting rooms after meetings have ended. 

As the link between the two areas of the team, you’ll be the go-to person for ensuring that both teams are covered, particularly at pivotal times.

Your key contributions will include:

·        Front-of-House Excellence: Being part of the welcoming voice of PRP, managing incoming communications with professionalism and warmth. Creating an exceptional first impression for all visitors.

·        Operational Hub: Efficiently managing all incoming and outgoing mail, deliveries, coordinating essential logistics e.g. transportation and courier services.

·        Meeting & Collaboration Support: Ensuring our meeting spaces are impeccably organised and equipped, handling bookings, refreshment needs, and setting up seamless video conferencing facilities.

·        Studio Maintenance & Resources: Upholding the professional and inviting appearance of our reception area and communal spaces, managing office access (keys/fobs), overseeing shared resources (Oyster cards, cameras, laptops, exhibition stands), and ensuring our post room and stationery store is always presentable.

·        Supply & Inventory Management: Proactively managing inventory and ordering essentials when required.

·        Supporting The Team: A team player, coordinating meeting logistics with Hospitality and Front of House.

·        Hospitality & Operational Support: Coordinating catering for meetings and internal/external events, maintaining a professional, warm and efficient studio experience.

·        Team & Culture Catalyst: Playing a key role in orchestrating engaging social and charitable events that strengthen our team spirit and foster connection.

·        Administrative & Studio Support: Assisting with overall studio facilities (e.g. coordinating with cleaning staff to maintain our high standards).

What You'll Bring

We're looking for a proactive, detail-oriented individual with a genuine passion for creating an organised and positive environment.

·        Exceptional Communication: Clear, professional, and friendly communication skills, both verbal and written.

·        Organisational Prowess: A natural talent for organisation, multitasking, and managing priorities in a busy environment.

·        Proactive & Resourceful: A 'can-do' attitude, always looking for ways to improve efficiency and anticipate needs.

·        Digital Literacy: Proficiency in Microsoft Office Suite (Outlook, Word, Excel) is essential, along with experience managing a multi-line telephone system.

·        Team Player: A collaborative spirit and a genuine desire to support a bustling office environment and contribute to team well-being.

Experience in a front of house role and Hospitality within either professional services, customer services or a hospitality environment would be a significant advantage.
